Our Commitment to Privacy
At Gigbuilder, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our DJ CRM and event planner software platform, including our website, web application, and related services (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.
Information Collected
We collect information to provide and improve our Service. The types of information we collect include:
1. Account Information
When you register for a Gigbuilder account, we collect your name, email address, phone number, business name, and billing information. This information is necessary to create and manage your account, process payments, and provide customer support.
2. Event and Client Data
As a CRM platform, Gigbuilder stores the event details, client contact information, contracts, invoices, music requests, timelines, and other data you enter into the system. You own this data. We act as a data processor on your behalf and do not use your client data for any purpose other than providing the Service to you.
3. Usage and Analytics Data
We collect information about how you interact with the Service, including pages visited, features used, browser type, device information, IP address, and referring URLs. We use Google Analytics (with IP anonymization enabled) to understand usage patterns and improve the Service. We also use session recording tools to diagnose technical issues.
4. Communications Data
If you use our two-way text messaging or email features, message content is transmitted through our platform and stored as part of your event records. We do not read, mine, or analyze the content of your messages for advertising or any purpose unrelated to providing the Service.
Data Security
Gigbuilder 7 is built on HCL Domino, a platform with enterprise-grade security trusted by governments and Fortune 500 companies for over 30 years. Access is controlled at the application and database level by Domino's ACL (Access Control List) system.
Gigbuilder 8 is built on a modern, widely used open-source stack:
- PostgreSQL database with row-level security, so every account's data is kept apart by the database itself, not only by the application.
- TypeScript and Node.js application servers, with a React web app.
- Gigbuilder Cloud storage for your files and photos, on our own servers.
- Continuous encrypted backups to separate backup servers, so data can be restored to a point in time.
For both, your data is protected by:
- Encryption in transit via TLS 1.2+ for all connections.
- Access controls enforced at the application and database level.
- Regular backups with encrypted off-site storage.
- Server hardening following industry best practices. Our servers are hosted in the United States with 99.9% uptime.
While no method of electronic storage is 100% secure, we implement commercially reasonable measures to protect your personal information.
AI and Data Usage
Gigbuilder offers optional AI-powered features (such as our AI assistant and smart suggestions). When you use these features:
Your prompts and relevant context may be sent to third-party AI providers (such as Anthropic) to generate responses. We do not use your data to train AI models. AI features are opt-in and can be disabled at any time. We do not sell, share, or provide your data to any third party for advertising, profiling, or model training purposes.
Connected AI Apps
You can connect Gigbuilder to AI apps such as Claude, ChatGPT and Grok, or to automation tools such as n8n and Zapier. When you do:
- You sign in with your own Gigbuilder login and choose what the app may do: Read only, or Read and change. The app receives a token for your login only; it never sees your password.
- The app can read and, if you allowed it, change the Gigbuilder information your login can see (such as events, clients, venues, your schedule and song requests) when you ask it to. Emails and texts are always shown to you to confirm before they're sent, and records can't be deleted or archived through an AI app.
- What you type into an AI app, and what that app does with the information Gigbuilder returns, is handled by its provider under its own privacy policy.
- We log each action a connected app takes in your account (you can see them under Logs → AI Connections), and keep technical request logs for 14 days for security and troubleshooting. We don't use this information to train AI models or share it with anyone.
- You can disconnect any app at any time under Setup → AI Setup → Connections. It stops working immediately.
Google User Data
You can connect your Google account to Gigbuilder to send email from your own Gmail address, keep your bookings in your Google Calendar, and create Google Meet links. Each connection is optional, made by you, and can be removed at any time in Gigbuilder or in your Google Account (Security → Third-party connections).
- What we access. Gmail: permission to send email on your behalf only (gmail.send). We cannot read, search, change or delete anything in your mailbox. Calendar: the events Gigbuilder creates for your bookings, and the names of your calendars so you can choose which one to use. If you turn on two-way sync for appointments, Gigbuilder also reads the appointments on the calendars you pick, so that ones you add or change in Google Calendar appear in Gigbuilder too; it never reads any other calendar. Google Meet: the meeting spaces Gigbuilder creates for you. Your Google account's email address, so we know which account is connected.
- How we use it. Only to do what you ask in Gigbuilder: send the emails you write or schedule to your clients, add, update and remove the calendar entries for your Gigbuilder events, and create Meet links for your appointments. Replies to email sent through Gmail come back to your Gigbuilder inbox through its reply address.
- Storage and security. We keep the sign-in token Google gives us, encrypted, plus a record of each message sent (recipient, subject, time and Google's message number) for your Delivery Log. We do not keep copies of your Google Calendar or your mailbox; with two-way sync on, only the appointments it brings into Gigbuilder are stored, as your own appointments.
- Sharing. We do not sell Google user data, share it with third parties, use it for advertising, or use it to train AI models. People at Gigbuilder do not read it, except with your permission to fix a problem, for security, or where the law requires.
- Removing it. When you disconnect, we delete the stored token straight away. You can ask us to delete your account's data at any time (see Contact Us).
Gigbuilder's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Children's Privacy
Gigbuilder is a business-to-business service designed for professional DJs and event planners. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
Access and Correction
You may access, update, or delete your personal information at any time through your Gigbuilder account settings. If you wish to export or permanently delete all of your data, contact us at support@gigbuilder.com and we will process your request within 30 days. Upon account termination, your data is retained for 90 days (in case of accidental deletion) and then permanently removed from our systems.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by posting a notice on our website. Your continued use of the Service after such changes constitutes acceptance of the updated policy.
